Data Protection.

How we handle personal information shared through this website and the member portal.

Last updated: 22 October 2026

Who is responsible

NEXUS-WC Logistics NPC, based in the Western Cape, South Africa, is responsible for the personal information described in this policy. Privacy requests can be sent to info@nexus-wc.org.za. This policy is informed by South Africa's Protection of Personal Information Act, 2013 (POPIA).

Information we collect

Depending on how you use the website, we may collect:

  • Contact, organisation, university, student, study, employer, business, fleet and operational details entered in sign-up, membership, contact and support forms;
  • Account details, membership numbers, profile information, sign-in and security records needed to operate the member portal;
  • Survey answers and other information you choose to submit through member features; and
  • Technical information such as an IP address, browser information and security events associated with a submission or account activity.

Required form fields are marked. If they are not supplied, we may be unable to process the application or request. Please avoid including sensitive personal information that a form does not ask for.

How we use the information

We use information to review applications, administer membership and accounts, respond to enquiries and support requests, operate surveys and public directory features, send service-related messages, protect the website, keep records and meet legal obligations. Depending on the activity, processing may be supported by your consent, steps towards or performance of an agreement, a legal obligation, or another justification recognised by POPIA.

Who may receive it

Access is limited to people who need the information for NEXUS-WC's work. We may use service providers for website hosting, database storage and email delivery, including delivery of form notifications and account messages. We may disclose information to a regulator or other authority where the law requires it. Administrators can review individual survey responses; members are shown aggregate results. Public directory details are published only when a profile is approved for public display.

Storage, transfers and security

Form submissions are recorded in the website's database, with an email notification sent to the Secretariat when delivery succeeds. We retain information for as long as it is needed for the purpose collected, membership or operational records, a legal obligation, or a legitimate claim, and then delete or anonymise it when appropriate. Service providers may process information outside South Africa; where a cross-border transfer occurs, we will apply the protections required by POPIA.

We use access controls and technical safeguards appropriate to the information, including protected account sessions, password hashing and two-factor authentication for portal accounts. No online service can guarantee absolute security. Where the law requires, we will notify affected people and the Information Regulator of a security compromise.

Your choices and rights

Subject to POPIA and applicable exceptions, you may ask whether we hold your personal information, request access to it, ask us to correct or delete information that is inaccurate or no longer authorised to be kept, object to certain processing, or withdraw consent where consent is the basis for processing. We may need to verify your identity before acting on a request. Email info@nexus-wc.org.za and describe your request.

If you are dissatisfied with how your request is handled, you may contact the Information Regulator or lodge a POPIA complaint. Our Cookies Policy explains the website's session cookie.

Updates

We will update this policy when our practices change and show the updated date on this page.
